Job Purpose:

Managing, organizing, coaching and performance planning for all Reception staff. Facilitate problem solving as challenges arise and the resolution of any conflict between staff. Answering enquiries from hospital staff or referring doctors. Handle and report on any patient incidents or complaints. Oversee the health & safety and stock control for your department. Administration of rosters, leave and overtime.

Minimum Requirements:

  • Matric
  • Current /completed studies: Leadership Development
  • 2 – 3 years’ experience in a leadership/2iC position in a medical/radiology environment preferred
  • Excellent problem-solving abilities
  • Ability to build and maintain good relations with all stakeholders

Key areas of Responsibility:

  • Monitor the quality of all data input and document management in your department.
  • Ensure that all company policies, procedures, upfront and co-payments are understood and complied with
  • Maintain an up-to-date knowledge of medical aid rules, regularly communicate changes to your team and monitor to ensure the team adhere
  • Continuously monitor and coach staff to deliver excellent service to all patients with a high focus on; empathy, dignity and sensitivity to handling and discussing money matters
  • Work hand in hand with others to ensure an efficient and affective workflow between all departments
  • Assist with investigations and take appropriate action in relation to complaints and incidents
  • Ensure that the culture and climate you set is in line with the company vision and values
  • Participate in interviews, induct new staff and probation appraisals
  • Submit statistics, reports, claims etc. timeously
  • Ensure staffing and rosters are planned giving consideration to planned annual leave, weekend shifts and possible emergencies/sick leave that may come up
  • Maintain a healthy balance of reception work and leading/monitoring/coaching and other management functions (70/30% split). Continuously take time to observe staff, coach, motivate, provide constructive feedback, acknowledge, and show appreciation for good performance.
  • Take accountability for the continuous development and growth of your own leadership and soft skills
  • Continuously coach and develop a 2iC sufficiently to be able to manage the department in your absence
  • Conduct monthly staff meetings /small group meetings to keep staff informed, involve them in departmental matters, hear their concerns and suggestions for improvement
  • Ensure you understand the POPI Act legislation, the protection of the disclosure of information of our patients / members and our own staff members and the impact thereof on our practice
